Restock from a supplier

Order goods in, receive them into the right place, and record what you now owe.

Before you start

  • Your suppliers added under Partners
  • Somewhere to put the goods

Steps

  1. Add the supplier

If they are new, add them in Partners › Suppliers with their terms. Terms matter here — they are what let Techondo tell you later when a bill is actually due.

  2. Raise the purchase

Create an inbound order from Orders › Inbound listing what you are buying and at what price. This is what you are expecting, and it is what the delivery gets checked against.

  3. Receive the goods

When the delivery arrives, check it in against the order. Record what actually turned up, not what was supposed to — a short delivery recorded honestly is a supplier conversation; a short delivery recorded as complete is a stock discrepancy you find weeks later.

  4. Put it away

Assign the goods to a storage location as you receive them. If you use QR labels, this is the point to generate them.

  5. Record the bill

The purchase appears in Finance › Money Out with its due date. Stock cost is updated from what you actually paid, which is what keeps your margins honest.

What you end up with

Stock on the shelf at a cost you can trust, and a payable you will not forget about.
